1. Who we are and what these terms cover
Immigrate to Poland (the Service) is operated by [COMPANY NAME, ADDRESS, NIP] (we, us). You can reach us at hello@immigratetopoland.com.
These terms are the regulamin required by article 8 of the Polish Act of 18 July 2002 on Providing Services by Electronic Means. They govern the website immigratetopoland.com, the free check, user accounts and the purchase of case packs. By using the Service you accept them; if you do not, please do not use the Service.
If you are a consumer (a natural person acting for purposes outside your trade or profession), nothing in these terms limits the rights you have under Polish law, in particular the Act of 30 May 2014 on Consumer Rights. Where these terms and mandatory law differ, the law prevails.
2. Definitions
- Free Check: the questionnaire and the result it produces (route, legal basis, hints, fee estimate) at no charge.
- Account: your user account, created and authenticated through our identity provider.
- Case: one residence-permit application prepared in the Service for one person, based on the answers you give.
- Journey: the free onboarding, plan, job finder and journey app built around one Case, usable without an Account by a guest (identified by a browser cookie and, for reminders, your e-mail address) or by a signed-in user.
- Case Pack and Complete: the two paid packages, each a set of digital content generated for one Case (checklist, filing plan, form guide, risk review, employer briefing and, in Complete, pre-filled templates, the office playbook and further modules). Together, the Digital Content.
- AI Job Scout: the optional monthly subscription described in “The AI Job Scout subscription” below, which adds AI-assisted job research, offer translation, drafted application e-mails and a coach chat to a Journey.
- Access Period: the time during which the Digital Content is available on your Case page, counted from the purchase: 12 months for Case Pack, 18 months for Complete.
- Knowledge Base: our compilation of the rules on Polish residence permits, and the Verification Date: the date of the research pass it was last checked against, shown on the website and in every Case.
3. What the Service is, and what it is not
The Service is information and document-preparation software. It provides general legal information about Polish residence permits and tools that help you prepare your own application: it applies published rules to the answers you give and generates checklists, plans, guides and templates.
- The Service does not provide legal advice. Its output is general information applied to your answers, not an opinion on your individual legal situation. We are not a law firm and we employ no one in the capacity of your lawyer.
- We do not represent you before any authority, do not act as your proxy (pełnomocnik), do not file or sign applications, and never access your MOS, login.gov.pl or Profil Zaufany accounts. Since 27 April 2026 residence applications are filed electronically by the applicant personally.
- We are not a public authority and have no connection with the Office for Foreigners or any voivodeship office. Official fees are paid by you directly to the competent office.
- We do not guarantee any outcome. Decisions are made solely by the voivode, and processing times are set by the office. See our disclaimer.
The Digital Content is generated from the answers you give. You are responsible for their accuracy, for checking the generated documents before you use them, and for the content of anything you file with an authority.
4. Account and technical requirements
You need a current web browser with JavaScript enabled, an internet connection and a working e-mail address. Accounts are created and signed in through our identity provider (Clerk); we do not see or store your password.
- You must be at least 18 years old to create an Account and to make a purchase.
- One Account per person. Keep your sign-in details confidential; you are responsible for activity under your Account.
- You may delete your Account at any time (see “Ending the relationship” below).
- We may suspend or close an Account used in breach of these terms, for fraud, for automated scraping or for attempts to interfere with the Service.
5. The Free Check and the free Journey
The Free Check, the onboarding, the plan, the journey app and the free job finder are provided free of charge and without obligation. Their result is general information applied to your answers. We may change, limit or withdraw free features at any time; this does not affect Digital Content or an active AI Job Scout subscription you have already purchased.
Reminders are a convenience, not a guarantee. E-mail reminders for your key dates and deadlines are a best-effort aid, sent through our e-mail provider Resend: they can be delayed, filtered as spam, or not sent at all if e-mail delivery fails or the date you entered was wrong. You remain solely responsible for tracking and meeting your own deadlines.
6. Job listings and contacting employers
The free job finder and AI Job Scout show job offers from third-party sources such as Poland’s public employment services board and, where configured, Adzuna. These offers are published by independent third parties.
- We do not vet employers who post these offers, do not guarantee that any offer is genuine, current or accurately described, and are not a party to any employment relationship you may enter into.
- Never pay anyone for a job. A genuine employer does not ask a candidate for money at any stage. If an offer, a recruiter or anyone claiming to represent us asks you for payment, it is not genuine; report it to us and do not pay.
- You are responsible for your own communication with employers and for checking any offer or contract before you rely on it. The red flags on our work in Poland guide describe the most common warning signs.
7. Case packs: what you buy
- A purchase is made per Case and is a one-time payment. There is no subscription and nothing renews automatically.
- The two packages, their contents and their prices are described on the pricing page and on your Case page at the time of purchase. Current prices: Case Pack $159, Complete $299. Prices are set and billed in US dollars; nothing is added at checkout. Amounts shown in other currencies are estimates for orientation, based on your location or your chosen currency at the exchange rate of the day; the final amount in your own currency is set by your card issuer or, where Stripe presents a local price at checkout, by Stripe.
- Complete includes everything in Case Pack. If your Case Pack is later upgraded to Complete, the Access Period of Complete applies from the upgrade.
- The Digital Content is available on your Case page for the Access Period. During that time we update it when the underlying rules change, within a reasonable period after we have verified the change.
- Official fees (stamp duty, residence card, power of attorney), sworn translations, apostilles, photographs and any other third-party cost are never included in our prices.
8. The AI Job Scout subscription
- AI Job Scout is a separate, optional monthly subscription at $8 per month, billed in US dollars through Stripe. It is not part of Case Pack or Complete and does not require either.
- The subscription renews automatically every month until you cancel. You can cancel at any time from your account; cancellation takes effect at the end of the period you already paid for, and you keep access until then. We do not offer partial-month refunds for early cancellation, without prejudice to your rights below.
- Before your first use, we ask for your explicit consent, separate from the Case Pack consent, because the subscription is a digital service that starts immediately:
“I want AI Job Scout to start immediately. I understand the subscription renews every month until I cancel, and that I lose the 14-day withdrawal right for the period that has already started.”
- Fair-use limits. Each feature (deep research, coach chat, application drafts, offer translation) is capped by a monthly and a daily count, shown on the pricing page and enforced automatically; once a limit is reached, that feature pauses until it resets. These limits exist so that the subscription price can stay fixed regardless of how the underlying AI is priced.
- AI output is not advice. Research, translations, drafted e-mails and chat answers are generated by an AI model and may be incomplete, out of date or wrong. They are not legal advice and do not replace the guided paperwork in Case Pack or Complete. You must check anything AI Job Scout produces before you rely on it, send it to an employer, or act on it.
- How your data is sent to our AI sub-processor, DeepSeek, and the consent that governs it, is described in our privacy policy.
9. Ordering and payment
You order from your Case page. Payment is processed by Stripe on Stripe’s pages; your card details are entered there and never reach our servers. The contract for the Digital Content, or for the AI Job Scout subscription, is concluded when Stripe confirms the payment, and we confirm it to you by e-mail (a durable medium) together with the relevant consent described below.
A receipt is e-mailed for every purchase; AI Job Scout also receives a receipt for each renewal. If you need a VAT invoice with your details, write to hello@immigratetopoland.com with the receipt number.
You do not need an Account to start a Journey or to buy a Case Pack, Complete or AI Job Scout: a guest checkout ties the purchase to your Case or Journey and the e-mail address you give at checkout, which is also where your receipt and any reminder e-mails go. Creating an Account later lets you access the same Case or Journey by signing in instead.
10. Delivery, the 14-day right of withdrawal and its loss
The Digital Content is digital content not supplied on a tangible medium. It is delivered by unlocking it on your Case page immediately after payment. AI Job Scout is a digital service that starts immediately once you subscribe.
As a consumer you have the right to withdraw from a distance contract within 14 days without giving a reason (article 27 of the Act on Consumer Rights). For digital content and digital services, however, article 38(1)(13) of that Act provides that the right of withdrawal is lost if performance began with your express prior consent and your acknowledgement that you thereby lose the right, and we confirmed this to you on a durable medium.
Our checkout therefore asks you to tick the following statement before paying for a Case Pack or Complete:
“I request immediate access to the digital content and I acknowledge that, once access is granted, I lose the 14-day right to withdraw from this contract.”
And before starting an AI Job Scout subscription:
“I want AI Job Scout to start immediately. I understand the subscription renews every month until I cancel, and that I lose the 14-day withdrawal right for the period that has already started.”
We record the version and time of the relevant consent and repeat it in your confirmation e-mail. Immediate access is only possible with it. If you would rather keep the withdrawal right for a Case Pack or Complete, do not tick the box and write to us before purchasing; we will explain the alternative (delivery after the 14-day period). For AI Job Scout, withdrawing within 14 days of a renewal you have not yet used simply means cancelling before that renewal is charged.
Your statutory rights regarding the conformity of digital content and our money-back promise, both described below, are not affected by this consent.
11. Conformity of the Digital Content and complaints
We are liable to consumers for the conformity of the Digital Content with the contract under the Act on Consumer Rights. The Digital Content must match its description, be fit for the purposes such content is normally used for, and remain in conformity during the Access Period, including through the updates described in “Case packs: what you buy” above.
To make a complaint (reklamacja), write to hello@immigratetopoland.com with your Account e-mail, the Case concerned and a description of the problem. We respond within 14 days. Where the law provides, you may request that the content be brought into conformity, a price reduction, or withdrawal from the contract.
12. Our money-back promise
In addition to your statutory rights: if your application is rejected as formally incomplete because of an error in our materials, we refund the full price of your case pack. This applies when the competent office leaves your application unexamined, or discontinues the proceedings, for a missing or incorrect formal element, and that element was missing or incorrect in the checklist, filing plan or form guide generated for your route.
- To claim, send us the office’s letter (the call to supplement or the decision) within 30 days of receiving it, together with the Case it concerns. We compare it with your route and your answers and refund to the original payment method.
- The promise does not cover refusals on the merits, processing times, deficiencies caused by information you entered incorrectly or omitted, documents you chose not to obtain, or errors in the annex completed and signed by your employer or university.
- The promise is not a guarantee of a positive decision. No such guarantee is possible; the voivode decides.
13. Acceptable use
- The Service is for preparing your own application (or, for a parent or guardian, a child’s).
- You may not resell, redistribute, scrape or systematically copy the Digital Content or the Knowledge Base, or use them to provide services to third parties.
- You must not enter information you know to be false, or data about other people without the right to do so.
- You must not attempt to circumvent the paywall, interfere with the Service or test its security without our written consent.
14. Intellectual property and licence
The website, the Knowledge Base, the engine and the Digital Content are protected by copyright and belong to us or our licensors. On purchase you receive a non-exclusive, non-transferable licence to use the Digital Content for your own Case during the Access Period, including the right to adapt, sign and file the generated templates as part of your own application.
15. Liability
We are liable under mandatory law, and nothing here excludes or limits liability that cannot be excluded or limited towards consumers. Within those limits, we are not responsible for:
- decisions, delays, summons practice or requirements of any public authority;
- consequences of inaccurate or incomplete answers, or of documents you filed without checking them;
- acts or omissions of your employer, university, translator or any other third party;
- unavailability of MOS, login.gov.pl, e-Doręczenia or other public systems;
- changes in law or office practice after the Verification Date, until we have verified and published them. The Verification Date is shown on every page and in every Case.
16. Personal data
How we process personal data, on what legal basis, with which processors (including Clerk, Stripe, Resend and, for AI Job Scout, DeepSeek) and for how long is described in our privacy policy, which forms part of these terms.
17. Ending the relationship
- You may stop using the Service and delete your Account at any time, from the Account settings or by writing to us. Deleting the Account ends access to your Cases, including purchased Digital Content whose Access Period has not yet ended; this does not by itself give rise to a refund.
- We may end the contract with immediate effect in case of serious breach of the acceptable-use rules above. Purchased Digital Content is refunded pro rata for the remaining Access Period unless the breach concerns that content.
- If we discontinue the Service, we will give at least 30 days’ notice by e-mail and refund the unused part of any Access Period.
18. Changes to these terms
We may change these terms for important reasons: changes in law, in our identity or payment providers, in the features of the Service, or to correct errors. We announce changes on the website and, for Account holders, by e-mail at least 14 days before they take effect. Purchases already made are governed by the terms in force at the time of purchase, unless the new terms are more favourable to you.
19. Governing law and disputes
Polish law applies. As a consumer you also benefit from the mandatory provisions of the law of the country in which you habitually reside, if that is elsewhere in the European Union.

As a consumer in Poland you may also use out-of-court options: the free help of the municipal or district consumer ombudsman (rzecznik konsumentów), mediation by the Trade Inspection (Inspekcja Handlowa), or a permanent consumer arbitration court at the Trade Inspection. Information is available from the Office of Competition and Consumer Protection at prawakonsumenta.uokik.gov.pl. Court disputes are heard by the competent common court; for consumers, the jurisdiction rules of the Code of Civil Procedure apply.
